Public Relations Officer Duties and Qualities

 Public Relations Officer Duties

A public relations officer is a professional who works in the public-facing communications of a business or organisation. They often occupy administrative or executive positions in their organisations, and they work with a team of public relations specialists. Public relations officers might work for private companies, non-profit organisations or public institutions such as governments and schools. They might also work independently for a public relations firm, offering consultation services to their clients on a contract basis. Public relations officer interacts with the press and the public on behalf of their client, a business or organisation. They handle the following tasks:

Establish communication goals

They establish how much and what type of communication their client has with the press and public. If their client wants transparency with the public, the public relations officer can develop a plan for which media outlets they communicate with and what tone their communications have. They establish a standard of communication that they can use with all public communications in the future. If the client wants to improve their public image, the public relations officer can work with them to establish a more positive image.

Assess their company's or client's public image

They can examine polls, read reviews and monitor their client's online presence to determine the company's or client's public image. When a public relations officer beings working with a client, they may review previous press releases and public events to determine how the client has handled press and public relations in the past. This assessment can help them determine how best to proceed with the media and if they want to make alterations to their public image.

Companies constantly want to improving their brand recognition, so a public relations officer can provide unique insight and give recommendations for how to do so.

Develop press releases

A public relations officer can write press releases, which are documents an organisation shares with the press to inform the public about their actions or new initiatives. The organisation may determine the contents and subject of the press release. Still, it is the responsibility of the public relations officer to choose the wording and the tone of the press release to present the information most appropriately.

Write speeches

If a client has to give a speech at a conference or the press, the public relations officer may write the speech. Like with developing press releases, the client may determine what the subject of the speech is. Still, the public relations officer uses their understanding of phrasing and public perception to write a speech that gives the perception the client wants to present.

Additionally, the public relations officer may determine when a client gives a speech based on changing public perception. For example, if a client cares about a specific cause, there may be a current news event that they want to comment on to bring attention to the cause.

Correspond with news media

The public relations officer's role involves giving and receiving news from the press. For example, if there is news about a client that the press plans to publish, the public relations officer may use their connections to find out what the news is and when the press intends to release it. They use those same relationships to communicate information that the client wants to share with the public.

Review marketing material

Public relations and marketing departments have many duties concerning interacting with the public and their client's perception. A public relations officer may work with the marketing team to develop marketing materials that represent their client in the desired way. They also make sure that all marketing materials align with the public relations goals they set for their client.

Respond to public events and inquiries

Clients may receive invitations or information about public events, in which case it is the public relations officers' job to determine what events their clients attend and how to respond to invitations they choose to decline. Additionally, if a client has an event, the public relations officer may handle the guest list, sending out invitations and managing attendees at the event. They are also responsible for all press inquiries the client receives, and they determine which inquiries are valuable and what responses their client sends.

Public Relations Officer Qualities

Here are the qualifications of public relations officers:

Education

Many public relations officers have bachelor's degrees in media, communications journalism or public relations. It is also common for public relations professionals who want to pursue advanced career positions to earn a master's degree in public relations. Studying these subjects can help you learn the skills you can use to succeed in this career and build essential relationships you can use to progress your career and help you create a list of contacts of media members.

Experience

To progress as a public relations officer, you can start with experience in an entry-level position. You can work as an intern while getting your degree and get some preliminary experience in this position. You can also apply for related jobs like an event manager, which can help you build contacts and skills that can help you become a successful public relations officer. With a few years of experience, you can gain familiarity with the media and the duties required of a public relations officer. Then, you can apply for more advanced positions in public relations, like officer or executive.

Skills

Here are some skills that a public relations officer uses:

Communication

Public relations officers leverage strong written and verbal communication skills to succeed. They communicate with internal contacts, such as team members and other company departments, and must ensure all communication conveys their objectives as clearly as possible. They also communicate with the public as part of their regular duties and try to use these communications to develop a positive image for their company. Public relations officers frequently communicate using direct dialogue, public speaking, written documents such as press releases and emails and social media posts and interactions.

Media relations

Public relations officers interact with media members to promote their products, encourage good publicity and respond to events that might involve their company or client. It is important for these professionals to understand the way news outlets work and how to work with them most effectively. They are the primary point of communication between their clients and the press, so they craft statements to provide the press with information the client wants to share. Public relations officers foster relationships with press members, so they stay informed and can easily share information.

Marketing

The public relations role sometimes overlaps with its marketing operations, so it is important for a public relations officer to understand both. They might work collaboratively with leadership on their company's marketing team, for example. They might also monitor their organisation's marketing activity to ensure it supports a positive public impression of the brand and make suggestions if necessary.

Conflict resolution

Sometimes a public relations officer's client may have a conflict with a third party or any internal employee. Public relations managers help their clients find solutions that are workable and satisfactory for both parties. They use their understanding of public perception and marketing to help their clients minimise attention from the press and leave each situation positively. This function allows the public relations officer to support their brand management activity.

Attention to detail

Public relations officers use strong attention to detail to manage different clients and their communications with the press. They ensure that every aspect of the information they share with their clients and the press is entirely accurate and presents them in the desired light. Pubic relations officers run metrics to evaluate public perception, tracking how much the public is talking about their clients. They also have to handle administrative duties, like managing contact information and recording their history of communications. Public relations officers also pay attention to their client's competitors to monitor the public perception of the industry.

PR Campaign

A PR campaign can take on different shapes and forms - as a result of the different objectives that brands have. Essentially, the definition for a PR campaign is a combination or collection of practices that have specific objectives and share the same goals for a business.

Public relations in its meaning is rather self-explanatory. The practice of public relations manages a brand’s reputation - what a brand does, what it says, and what others say about it. PR overlooks the image of the brand, and all values associated with it in the eyes of the public.

A campaign is the action of keeping that reputation, and maintaining a good relation and understanding between the brand and its public. It is not just content that is released to the press. Campaigns have many aspects, including content, public speeches, engagement with the audience, feedback, communication of values, etc.

Public relations specialists take a company’s idea, and expand its application, turning it into a success for the company and for the eyes of the public.

Simply put, PR campaign is the combination of different practices with specific objectives, which share the same goal and within a fixed time frame.

What Are The Objectives of a PR Campaign?

Despite the different formats that PR campaigns come in, they all have common, or shared, benefits that will positively impact your business.

To begin with, they increase the generated interest in your brand, which in turn opens up more opportunities for development. Consistent campaigns with consistent values are certain to build a sense of loyalty in your customer base, thus impact sales and revenue, and gain the attention of investors.

On a more long lasting note, they establish your brand’s identity (ideas you put forth, values you back up, etc.) and establish your brand in the industry by increasing your credibility. Inevitably, this helps to educate the public about your brand as well as the industry you’re involved in.

Here are some objectives that PR campaigns have in their pursuit of success.

1. Identify Target Audience

One of the main objectives of PR campaigns is to be able to target the right people. As any other company, yours also has a preferred public group that it needs to favor. In this regard, PR campaigns set as their objective to identify the proper target audience for your brand.

This includes categorizing them on the basis of interests, online platforms, social media involvement, timing, etc. Using data-driven approaches is the most effective method of identifying the perfect target audience for your brand, and is a goal for every PR campaign in order to have the success it aims for.

2. Set Clear Objectives

It’s not enough to simply say that PR campaigns have objectives. They also need to be set in stone. A part of the work of PR specialists is to define these objectives. In doing so, aspects that can affect the size of the objectives need to be considered.

For example, restraints in relation to budget and time can be a cause for a more realistic approach. A good PR campaign does not set itself to achieve something impossible, but rather establishes reasonable expectations for the impact it will have.

With the resources each PR team is given, their job is to set clear, reasonable, and achievable goals for the campaign that is in the making.

3. Analyze Context

Analyzing the context in which the campaign will be released is essential to its success. It is also an important objective for that campaign to analyze the environment. A campaign’s activities vary. It can include working with media outlets and journalists, holding speeches at public events, maintaining reputation, crisis communication, public engagement, etc.

What needs to be assessed is the context in which the campaign will take place. This includes thinking widely about your industry of influence. What are some issues within the industry that you can address, or ideas that innovate the field that you can spread. These are the foundations of your PR campaign. The context shapes the type of content the campaign will contain.

Which is why it’s an important objective to analyze and define the context in order to have a relevant and successful campaign.

4. Right Place At The Right Time

The time and place to spread positive information about your company can greatly improve the reputation of the brand.

Attending events that focus on positive activities is a great opportunity to share how your company has contributed to the industry. Each activity the company has participated in needs to be shared, and an objective of PR campaigns is to make sure these activities are spread through various different channels.

Additionally, it is important to sync your timing with events within the sphere. Holding events right after a major crisis in the field can separate you from the negative associations with that event. Sharing achievements shortly after other news can be beneficial too. It all comes down to PR specialists maintaining the right timing for the campaign.

5. Dynamic Content

We can use Digital PR for SEO improvement. A good online reputation can get you some strong backlinks. If you stay consistent in your PR performance, it can easily result in obtaining some links from authoritative sites in your industry - Google loves this. When digital PR and SEO work together, your overall communication goals will most certainly be within reach. It is critical that you pay attention to the quality of your backlinks - always make sure they are indeed valuable for your business.

Depending on the expectations of your digital PR campaign, the goals you set will either look similar to the above mentioned or a little different. Overall, no matter the goal, the aim is to grow the business (depending on what that may look like to you) through the power of PR.

Role and Functions of PR

Role of Public Relations Departments

According to the Role of the public relations department/agencies, public relations can be divided into 7 types. These are:

  • Media Relations: Establishing a good relationship with the media organisations and acting as their content source.
  • Investor Relations: Handling investors events, releasing financial reports and regulatory filings, and handling investors, analysts and media queries and complaints.
  • Government Relations: Representing the brand to the government with regard to the fulfilment of policies like corporate social responsibility, fair competition, consumer protection, employee protection, etc.
  • Community Relations: Handling the social aspect of the brand and establishing a positive reputation in the social niche like environment protection, education, etc.
  • Internal Relations: Counselling the employees of the organisation with regard to policies, course of action, organisation’s responsibility and their responsibility. Cooperating with them during special product launches and events.
  • Customer Relations: Handling relationships with the target market and lead consumers. Conducting market research to know more about interests, attitudes, and priorities of the customers and crafting strategies to influence the same using earned media.
  • Marketing Communications: Supporting marketing efforts relating to product launch, special campaigns, brand awareness, image, and positioning.

Functions Of Public Relations

Public relations is different from advertising. Public relations agencies don’t buy ads, they don’t write stories for reporters, and they don’t focus on attractive paid promotions. The main role of public relations is to promote the brand by using editorial content appearing in magazines, newspapers, news channels, websites, blogs, and TV programs.

Using earned or free media for promotion has its own benefits as information on these mediums aren’t bought. It has a third-party validation and hence isn’t viewed with scepticism by the public.

The functions of public relations managers and public relations agencies include:

  • Anticipating, analysing, and interpreting the public opinion and attitudes of the public towards the brand and drafting strategies which use free or earned media to influence them.
  • Drafting strategies to support the brand’s every campaign and new move through editorial content.
  • Writing and distributing press releases.
  • Speechwriting.
  • Planning and executing special public outreach and media relations events.
  • Writing content for the web (internal and external websites).
  • Developing a crisis public relations strategy.
  • Handling the social media presence of the brand and responding to public reviews on social media websites.
  • Counselling the employees of the organisation with regard to policies, course of action, organisation’s responsibility and their responsibility.
  • Dealing with government and legislative agencies on behalf of the organisation.
  • Dealing with public groups and other organisations with regard to social and other policies of the organisation and legislation of the government.
  • Handling investor relations.

Advantages Of Public Relations

Credibility: Public trusts the message coming from a trusted third party more than the advertised content.

Reach: A good public relations strategy can attract many news outlets, exposing the content to a large audience. Moreover, this medium can help the company utilise certain organic touchpoints that are hard to capitalise on otherwise.

Cost effectiveness: Public relations is a cost effective technique to reach large audience as compared to paid promotion.

Better Communication: Public relations help the company to communicate more information to the public than other forms of communication media.

Publicity, Public Opinion, Propaganda

Publicity

Publicity concerns a company, organization or individual’s presence in the media. Forms of publicity include news stories, articles and event information. Publicity creates public awareness and attention around a brand, and publicists gain publicity for their clients by promoting.

Unlike public relations, publicity is used solely to attract attention. It differs from PR in the sense that public relations focuses on more than just public attention. The intent in public relations is to accomplish an organization’s stated goals by sending strategic messages to the appropriate audiences in hopes of impacting their knowledge, behaviors or attitudes. In short, PR manages the overall reputation of the client while simultaneously building relationships among all of those who are affected by it. As a management function, PR focuses on building relationships and managing an image.

Although pitching a story, event or the latest development to the media is important in public relations, it isn’t the only aspect of the job. In public relations, publicity is viewed as a way to gain the client media coverage in a cost-efficient and immediate manner. Saying that publicity is the same as public relations ignores the true goals and objectives of each discipline and fails to acknowledge the remaining responsibilities of a PR practitioner.

Public opinion

Public opinion represents people’s collective preferences on matters related to government and politics. However, public opinion is a complex phenomenon, and scholars have developed a variety of interpretations of what public opinion means. One perspective holds that individual opinions matter; therefore, the opinions of the majority should be weighed more heavily than opinions of the minority when leaders make decisions. A contrasting view maintains that public opinion is controlled by organized groups, government leaders, and media elites. The opinions of those in positions of power or who have access to those in power carry the most weight.

Public opinion is often made concrete through questions asked on polls. Politicians routinely cite public opinion polls to justify their support of or opposition to public policies. Candidates use public opinion strategically to establish themselves as front-runners or underdogs in campaigns. Interest groups and political parties use public opinion polls to promote their causes. The mass media incorporate reports of public opinion into news story about government and politics.

Defining Public Opinion

What exactly is public opinion? Scholars do not agree on a single definition of public opinion. The concept means different things depending on how one defines “the public” and assumptions about whose opinion should or does count the most—individuals, groups, or elites.

Most simply, the public can be thought of as people who share something in common, such as a connection to a government and a society that is confronted by particular issues that form the bases of public policies. Not all people have the same connection to issues. Some people are part of the attentive public who pay close attention to government and politics in general. Other individuals are members of issue publics who focus on particular public policy debates, such as abortion or defense spending, and ignore others. James A. Stimson, Public Opinion in America, 2nd ed. (Boulder, CO: Westview, 1999). They may focus on a policy that has personal relevance; a health-care activist, for example, may have a close relative or friend who suffers from a prolonged medical problem. Some members of the public have little interest in politics or issues, and their interests may not be represented.

An opinion is the position—favorable, unfavorable, neutral, or undecided—people take on a particular issue, policy, action, or leader. Opinions are not facts; they are expressions of people’s feelings about a specific political object. Pollsters seeking people’s opinions often say to respondents as they administer a survey, “there are no right or wrong answers; it’s your thoughts that count.” Opinions are related to but not the same as attitudes, or persistent, general orientations toward people, groups, or institutions. Attitudes often shape opinions. For example, people who hold attitudes strongly in favor of racial equality support public policies designed to limit discrimination in housing and employment.

Public opinion can be defined most generically as the sum of many individual opinions. More specific notions of public opinion place greater weight on individual, majority, group, or elite opinion when considering policy decisions.

Propaganda

The goal of any propaganda is to create a false sense of legitimacy for the agenda it is promoting and gain the acceptance or compliance of its audience. It’s an age-old concept used by some of the most powerful movements and influential leaders.

Propaganda is a persuasion technique used to manipulate or influence individuals to adopt a particular opinion or belief. It is not limited to a single medium and can be found in artwork, films, speeches, music, memes, and more.

Biased information and half-truths are presented in a way that furthers a particular agenda, whether political, religious, financial or otherwise. Propaganda works to manipulate people into believing that this misappropriated information is a fact. The best forms of propaganda will go even further to convince people that these ideas and “facts” are their own beliefs and not the result of propaganda tactics.

Propaganda is so pervasive that most people experience it regularly and often don’t even notice it. It works in the shadows to control public perception, effectively influencing political campaigns, spending allocations, corporate gains, and everything in between. Propaganda tactics can be found almost everywhere, including:

  • ·         Advertising and public relations
  • ·         Marketing
  • ·         Politics
  • ·         Social media

This blog will dive into the murky world of propaganda, starting with how to identify it. Then, we’ll discuss its relationship with fake news, public relations, and the effect it can have on your reputation.

How to identify propaganda

If propaganda is everywhere, how can you identify it? With the lines between artistic expression, marketing, advertising, public relations, propaganda, and actual news becoming increasingly blurry, it can be difficult to single out propaganda for what it is.

People in power have been influencing public opinion using half-truths, outright lies, and other questionable tactics for as long as written records exist. Since Darius I’s rise to the Persian throne in 515 BC, propaganda has been used to incite genocide, influence political elections, change course on religious beliefs, and more.

Despite its long history and proven effectiveness, there are some telltale signs that most propaganda exhibits. It is important always to consume media through a critical lens. Here are some common propaganda techniques to watch out for:

  • ·         Half-truths and distortion of data: Hyper-focusing on the parts of a story that further a particular agenda can gain audience support.
  • ·         Inflammatory statements: Bold statements based on emotion rather than facts can ignite passionate people.
  • ·         Leveraging emotions: Embarrassment, humour, comparison, and fear are all examples of emotions that can be used to unify an audience.
  • ·         Creating an enemy or scapegoat: Targeting a particular person or idea can also be used to unify people against a supposed adversary.

Public relations vs. propaganda

Public relations and propaganda inform and persuade the public to push a particular agenda. They both engage specific community segments in ways that will influence their opinion and encourage them to take action.

The main difference between the two is that public relations campaigns promote “the truth,” although this is not always the case when dealing with dark PR or other negative campaigns.

Generally speaking, though, the Public Relations Society of America defines PR as “a strategic communication process that builds mutually beneficial relationships between organizations and their publics.”

Some of the most common PR activities include:

  • ·         Donating time, goods and money to local charities and community organizations, using related events as opportunities to “show you care.”
  • ·         Securing interviews and promotional spots on TV shows, influential blogs and other media outlets relevant to what you do.
  • ·         Sending out branded press releases highlighting achievements.
  • ·         Investing in positive off-line press, such as TV commercials, outdoor and indoor ads, and more.
